Privacy

Fieldwork Studios is the operating name of 2814552 Alberta Ltd., an Alberta corporation based in Edmonton. This policy covers this website and the systems we build and operate for clients.

This website

The site sets no cookies, runs no analytics, and loads nothing from a third party. Visiting it leaves us no record of you.

If you send the contact form, we receive what you typed into it — your name, email address, business name, and message — and it reaches our inbox. We use it to reply to you and to keep track of the conversation if it becomes an engagement. We do not add you to a mailing list and we do not pass it to anyone.

Systems we build and operate

Most of our work involves building software that runs inside a client's own business and touches their information: mailboxes, documents, customer records, phone calls. In that work the client is responsible for their data and we act on their instructions.

Four rules apply to every build:

  • We access only what the system needs to do the job it was built for.
  • We never sell client data, use it for advertising, or use it to train AI models, and we configure our providers so they cannot either.
  • A person at Fieldwork looks at client data only where it is necessary to build, support, or fix the system, or where the law requires it.
  • When an engagement ends, we delete what we hold and disconnect our access. A client can ask for that at any time.

Data accessed through Google APIs

Some of our systems connect to a client's Google account with their explicit consent, granted through Google's own permission screen. The client sees exactly what is being requested before anything connects, and can withdraw it at any time at myaccount.google.com/permissions.

Where a system requests Gmail access, it is to read the messages and attachments the client has directed it to handle, prepare an unsent draft reply, and apply labels. Our systems do not send email. Drafts sit in the client's mailbox until a person reviews and sends them.

Fieldwork Studios' use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically: data obtained from Google APIs is used only to provide and improve the features the client asked for, is never transferred to others except as needed to provide those features, comply with the law, or as part of a merger or acquisition, is never used for advertising, and is never read by a human except with the client's consent, for security or support, or where the law requires it.

Where information is stored

Our own infrastructure runs in Canada — Google Cloud's Montréal region — and we choose Canadian regions wherever a provider offers one. Some services we depend on process data outside Canada. Before a build ships we tell the client which providers it uses and where each one runs, so nothing about that is a surprise later.

We keep information for as long as the engagement needs it, and delete it when the engagement ends or on request, except where we are required to retain business records.

Your rights

Under Canadian privacy law you can ask what personal information we hold about you, ask for it to be corrected, and ask for it to be deleted. Write to [email protected] and we will answer within 30 days.

If we ever have a breach that creates a real risk of significant harm, we will tell the people affected and the Privacy Commissioner of Canada.

Changes

If we change this policy we update the date at the top. Where a change materially affects a current client, we tell them directly rather than expecting them to notice.
